MINUTES FOR CAC MEETING

January 31, 2007

 

The College Administrative Council (CAC) met in the Nursing Conference room from 12:00-4:30.

Dr. Corder called the meeting to order.

 

In Attendance: Dr. Jan Corder, Juliet Burgess, Dr. Jessica Dolecheck, Emmy Doughty, Dr. Judy Fellows, Dr. Florencetta Gibson, Jay Hicks, Beverly Jarrell, Peggy Meredith, Belinda Morgan, Dr. Paxton Oliver, and Debbie Wisenor.

 

1.†† Lunch.

Dr. Corder provided lunch for all CAC members.

 

2.†† Administrative Assistant Assignments.

a.Graduate Work Study Students Time Sheets

The Administrative Assistants will take care of CODI Graduate WorkStudy Students Time Sheets.

††††††††††††††† b.Adjunct Time Sheets for CODI, OTA, & DHYG

The Administrative Assistants will type out the forms for CODI Adjunct Faculty.

††††††††††††††† c.Handle New Faculty Requests for keys, computer accounts, etcÖ

The Administrative Assistants will have a new employee checklist with contact phone numbers.Orientation of new employees was discussed.Key charges were discussed.Computers have to be cleaned by the computing center after an employee leaves the university.Forms for faculty computer needs were discussed.

One administrative assistant will handle all contracts for all departments.She will have hard and electronic copies.She will advise departments three to six months before contract is due for renewal for any changes by departments.She will send original for all signatures and make copies for departments and return to departments.Departments will send contracts to companies or affiliates and they will follow-up on the contracts.

††††††††††††††††††††††††††††††† NURS students will return applications to Deanís office, where an

administrative assistant will pair it with folders and give out applications to those students who may need one.

DHYG students will return applications to Deanís office where an

administrative assistant will contact students for interviews after review by

department head.An administrative assistant will also mail out application packets.

OTA/RADT students will return applications to Deanís office where an

administrative assistant will collect and return to departments.

††††††††††††††††††††††††††††††† Administrative assistants will send out packets to students who request

information on the department.They will refer students who are transferring to††† The Board of Regents web site to the cross walk for transfer information.

††††††††††††††††††††††††††††††† Earlene Stanley will type tests for Nursing and Dental Hygiene as needed.

††††††††††††††† h.†† Screen Calls for Advisor

Vicki Creightonís calls will be answered first by an administrative assistant in the Deanís office, so that she has more time to advise students.Ms. Creighton will be advising pre-Nursing, pre-Radiologic Technology, and pre-Clinical Laboratory Sciences students.Beginning in Fall 2007 all beginning freshmen will be advised by the Student Success Center until they have 30 credit hours, they will then be advised by Ms. Creighton until they have been accepted into their professional program.

The file room will be located next to Ms. Creightonís office in Sugar Hall.An administrative assistant from the Deanís office will pull student folders for the next dayís advising appointments.She will also re-file student folders that have previously been pulled for advising.She will also make folders as needed.

††††††††††††††††††††††††††††††† Administrative assistants will be responsible for supervising students and

shredding files that students can not have access to.

Deanís office will be available to help if departmental scholarships are restored.

An Administrative assistant will be helping departments with any CE need.University Continuing Education office also helps the departments with their CE needs.

licensures for all departments.

††††††††††††††††††††††††††††††† Sandra Barton will track all inventory in the College.

 

3.HRSA Grant Funds Purchasing Decisions.

All departments need to send their wish lists to the Deanís office as soon as possible.Orders need to be completed by June 30, 2007.

 

4.Application Fees.

Dr. Corder introduced Diane Singletary and Gail Parker of the Computing Center.They discussed the application fees that the departments charge for application processing ($50.00).Students have to specify which department the application fee applies to when paying the fee at LaCapitol.Gail Parker will set up a FRS computer screens workshop for a CAC meeting time.25% of the application fee will go to the Deanís office and the remaining 75% will go to the departments.The applications are processed as follows:Dental Hygiene and Radiologic Technology is Spring applications for Fall admittance.Occupational Therapy Assistant is Spring applications for Summer II admittance. Nursing and Communicative Disorders is Spring and Fall applications for Fall and Spring admittance.†††
