The Pharmacy Education Management System (PEMS) is a comprehensive web-based system implemented to facilitate the management of all aspects of the Experiential Education Program.
Preceptors and students will access the system, via the Internet. This allows direct access to the information server to update affiliate bio's, view rotation assignments, complete daily logs, document interventions, complete assessment forms, and view student evaluation reports for various aspects of the rotation.
Links will be provided to download the policy and procedure manuals and various program forms.
Please be assured no patient specific information will be entered into PEMS.
Preceptor Instructions

Once you log in the first time, you may want to bookmark this site for future use.
The first screen will ask for your User ID and Password.
You are now in PEMS. The first screen you see will be a message screen saying WELCOME TO PEMS ONLINE. This screen is used by the system administrator to post announcements to various PEMS users. Upon closing this screen, you will be at the "Home Page" of the system, which is called Affiliate Information. All users are referred to as affiliates in the system.
Screen Link Descriptions
| Home | The Home Link brings you to the Affiliate Profile Screen. |
| Update Profile | The Update Profile link on the Affiliate Profile screen takes you to the Maintain Affiliate Information page. This is where you can change your email address and phone numbers |
| Address Update | The Address Request link at the Affiliate Profile screen takes you to the Address Change Request page. This is where you would change your site address or home address each time you move so we are able to reach you. It is very important to enter the Effective Begin Date and Effective End Date at the bottom of the form. Changes will not show up immediately. |
| Activity Logs | The Activity Logs button will get you to the daily logs. Click on the student's name to view student activities. Students will complete the activity logs on a daily basis. Students should have several log entries for each day. Once completed, preceptors can log on and view the completed logs and mark agree, disagree, or not observed. Please make sure to press the Update button at the bottom of the page after making an entry. Percepts are asked to grade logs on a weekly basis. Here you will also find the Clinical Assignments Checklist. Click here to approve any clinical activities the students performed under your rotation. IMPORTANT: STUDENTS WILL NOT RECEIVE CREDIT FOR THESE ACTIVITIES UNLESS APPROVED BY PRECEPTOR.
The E button gives you the student's email address. If your browser is setup correctly, you should be able to click on E and have an email open automatically. |
| Evaluations | The Evaluation button will let you evaluate the student's progress during the rotation. Click on the student's name to load evaluation form. Students should be evaluated at mid-point and the evaluation form should be saved as a work in progress. At the end of the rotation, the final evaluation should be done on the same form as the midpoint so we can see the change from mid-point to final. Honest evaluations will help students find their weaknesses and work on improving those areas before the end of their rotation year. Each competency has a radial button that will allow preceptors to click on appropriate score. Activities that have not been available for students should not be scored. Sites are not required to address each competency that was scored low so that the student may understand how to improve. If the student is at risk of failing at mid-point, the mid-point problem report should be completed and submitted to the University. Here you will also find the Preceptor/Site Summary Report. This is where the preceptors can view the student's anonymous evaluations of them and their practice site. This information will be made available at the end of the rotation year. The E button for emails is also on this page. |
| Forms & Documents | Here you will find the P4 Advanced Practice Experience Manual, the P2/P3 Early Practice Experience Manual, rotation zone map, student time sheet and other information pertaining to practice experiences. |
| Password | Password is used for changing passwords. You may do this anytime you choose. Your password has no expiration date. |
| Rotations | The Rotations page give you the dates of your rotations, student names, and type of rotation. Click on the student name to view the student profile which contains pharmacy related work experience and student goals. The E button gives you the student's email address. |

| Evaluations | The Evaluations link will let you anonymously evaluate the preceptor/practice site. At the Preceptor Evaluations page, select a rotation site for evaluation. Use the drop-down menu to select a preceptor. Each competency has a radial button that will allow students to click on the appropriate score. Save the evaluations as a "work in Progress" document until completed, and then save as "Complete". |

Students are asked to provide as much information as possible regarding the site and preceptor to the Coordinator of Advanced Practice Experience. |
| Rotation List | At the Rotation List link, you may view all rotations. Click on a rotation to view the preceptor/site information. Click the Get Map button to view a map of the site location. You may also click the "I" button to view the preceptor/site information. |
| Rotation Preferences | The Rotation Preferences link is used to enter rotation preferences. At the Rotation Selection page, click on a specific rotation to enter preferences. At the Enter Rotation Preferences page, use the radial button to select Option A, B or C. If Option A is selected, use the drop-down menu to select a course. Upon selection of the first rotation course, a list of preceptor sites will appear below the course. Click to highlight the preferred preceptor site for the first selected course. Repeat the previous process for the second and third course selections under Option A. If Option B is selected, the computer will automatically select preceptors/sites for this rotation. Use the drop-down menu to select a course. If Option C is selected, the student will personally arrange an out of system rotation. Use the drop-down menu to select a course and rotation month for student-arranged preceptor/site. Students are asked to provide as much information as possible regarding an out of system rotation site and preceptor to the Coordinator of Advanced Practice Experience. (See Out of System Rotations Link). Finally, select first and second zone preferences by using the drop-up menus provided. To save rotation preferences, click the Save Rotation button. An out-of-system request must also be completed if you choose this option. IMPORTANT: SELECT ELECTIVES YOU ARE INTERESTED IN AND AREAS WHERE YOU NEED IMPROVEMENT. DO NOT SELECT ELECTIVES IN ONE CONCENTRATED AREA. SELECT AREAS YOU ARE ABLE TO FIND HOUSING FOR EVEN IF THE AREA ISN'T YOUR FIRST CHOICE. |
| Search Preceptors/Sites | The Search Preceptors/Sites link is used to find specific preceptors/sites. Use the drop-down menus to facilitate the search process. |
| Maintain Student Profile | The Maintain Student Profile link is used to maintain your student profile. Enter previous pharmacy-related employment history and provide additional information as requested. Use the Save button to confirm profile. |
