Note: When receiving text files, it is important that the text be in a format that can be used. Not all word processing programs are the same. Not all versions of the same program are compatible. Text only (ascii) or (dos) files are desirable because all computer programs and systems universally accept them.  When in doubt, ask for this format.

Also note that it is unnecessary and sometimes unwise to send e-mail memos as attachments. Often, the attachments won't open because of incompatibility if the recipient does not have the same software or version used to create the memo. Even if the recipient can open the attachment, it involves jumping out of the browser and launching another application.  Please show courtesy by using cut and paste to place information into an e-mail message rather than attaching additional files.

THE EXERCISE: Download the file "craftmetal text," or copy from a shared folder, to the desktop of your computer. Reminder: don't open files from a shared folder across the network because of problems with speed, security of files, and limited accessibility by others.

Launch InDesign and create a new document. Use the Place command to put the file "craftmetal text" into the document. Reminder: Don't try to open a text file by double clicking. Most likely it won't open, but if the file did open it would be in a different application program such as "simple text" or some word processing application. We want it in our desktop publishing application.

Reminder: Publishing applications such as QuarkXPress or Adobe InDesign are assembly programs that use text frames or boxes. Make certain that you have a text frame and that it is selected with the Text Tool. Go to the file menu, "place" to import the file, "craftmetal text."

Master pages are available from page menu.

The page layout palette displays numbered icons of the document's pages. The letter that appears on the page icon indicates which master page is used to format that page. Items that appear on a master page will appear on all pages created from that master. Columns and page guides are set from the Layout Menu. 

Pages can be created, deleted, and rearranged from the page layout palette. Navigation through a multi-page document can be done by selecting pages from the page layout palette. A document can have many master pages. The user can change Master page names.

Headers or footers placed on master pages will appear throughout a document. An additional advantage of master page items is that they can't be accidentally selected or moved from the document pages. Use (command-option-click) to override a master page attachment of an item. Use the page palette's options to remove local override and reattach an item to master page.

Files often come in with garbage
such as end of file marks or extra returns after each line. This especially happens if you get e-mail forwards from those poor unfortunate users of PCs. You can also find unwanted tabs used for paragraph indentions; extra spaces between words or heaven forbid word spaces used to indent paragraphs. Remove them using the "find/change" feature in the edit menu.

Go to Type menu; "show hidden characters" (option-command-i) you will see paragraph returns, tabs, and spaces.
Place each of the metal names on its own line by hitting a return after each.

We will use "find/change" to clean up.


If you don't know the code of an item such as a return or a tab, you can copy from your text and paste into the find/change fields. The code for a return is "^p" the code for a tab is "^t."

To get rid of extra returns: First, make certain your paragraphs are clearly marked (double returns can often be used) or in our case a tab was used for the paragraph indents. We don't want to indent paragraphs with tabs. We will use Paragraph formatting to control indents.

To get rid of tab indentions, and mark the paragraph: Find a return and tab together (the end of one paragraph and the indention of the next paragraph). Copy the return and tab and paste into the "find what" field, then type characters that do not occur in your copy such as ### into the "change to" field.

Change all. Your paragraphs are now marked by ### instead of an indent or a return.

Now to remove all returns find "^p" and change to a single space. 

To reinsert paragraphs, find ### (your paragraph marker) and change to "^p"

To get rid of extra spaces: Find two spaces and change to single space.

The first layout will be one-column. The second layout will be two-column. We will also make paragraph styles. 

Paragraph Styles are
a powerful device in page layout programs such as QuarkXPress or Adobe InDesign, or even Microsoft Word. Paragraphs can be completely formatted and a tag, or paragraph style, or style sheet can be made that contains all of the instructions to format that paragraph. That style sheet can then be applied to any paragraph in a document. This is a great time saver. It also increases accuracy because some small feature could be forgotten if paragraphs were formatted individually throughout a document. But the greatest feature of the paragraph style is its ability to globally reformat tagged paragraphs just by changing the style tag

We will start our layout of craftmetal text in 12 point Times, justified, 1 pica indent. (Paragraph "first line indent 1p." The default measurements are set for inches. Following the number with a “p” such as 2p, two picas can enter picas. Points can be entered by following the "p" with a number such as p4, four points) Set sub heads in 18 point Helvetica bold caps. Format the title 36 point Times bold.

From the Paragraph Palette, create new paragraph styles for title1, subhead1, and text1. "Select all" from the edit menu. Apply the style sheet for text1. All the type is now 12 Times justified. Apply the title1 style then the subhead1 style to the four sub heads. Any extra formatting (formatting that is different from the style tag) is indicated by a plus sign after the style sheet name. Extra formatting can be removed by selecting "no style" before selecting the desired style.  As shortcut to this, the option key can be pressed while the desired style is selected. 

Center your name, class, and exercise number at the bottom of the master page in italic. To complete your layout you can edit the paragraph styles directly or format the text and then "Redefine" the paragraph style.

Note: in the Paragraph dialogue box there are several options worth noting. Keep options "Keep with next line" is great for all kinds of heads. This feature prevents a head from being separated from its paragraph across pages or columns. Another feature keeps all the lines in a paragraph together or sets parameters on the minimum number before or after a break. This prevents "widows and orphans."

Create a Character Style for the (Chemical Symbol Xx) used for each craftmetal. Label it chemical1. Character styles are applied to selected text. Make the style italic or bold, or both.

Save the one-column layout to your folder with the label as "(your last name) ex-3-1.indd" Then instantly save it as "(your last name) ex-3-2.indd" for the two-column version. The one-column version is now safe. Reminder: when you can, always use an existing file as a template because it saves time and increases accuracy. Just be careful you don't overwrite any originals that are still needed.

It is common practice to design one, and then use that as a template for the next. Editing and altering are always easier than starting from scratch.

Go to pages palette, create a new master page labeled two-column. Go to Layout menu, margins and columns. Set columns for 2. Set gutter width for one pica, (1p). Create a new document page. Drag the new master on top of the document page to apply its formatting.

Go to back to your document page. Your document now has guides for two-columns. Paste the text frame on page two. The text box is still one-column. It is possible to set multiple columns in a single text box. There are times when this is desirable, but it is usually not elegant or effective typography. We want to be able to control the columns.

Resize the text box to fit the left column guides. Make a new box on the right side. Use selection tool to cause the text to flow into the right hand box.

Note: turn "Show Text Threads" on in the View Menu to see the links between text boxes if you ever need to see them.

Make a separate box across both columns for the title. You can then arrange to achieve an attractive layout. You will have more room with the two-column layout so the sub heads could be bigger or spaced more or the text type could have more leading.

Rename your paragraph styles: title2, subhead2, and text2. Rename your Character Style chemical2. As you change the formatting redefine the style tags.

When you finish the two-column design, create a new page and format it with the one-column master page.

Open your one-column document and copy the text frame. Go to the new page of your two-column document and paste the text frame into place.

You will notice that you now have Paragraph Styles for the one-column document and the two-column document. It was important to rename the Paragraph Styles so that they didn't over write each other.
